Job Description

APM Terminals, a global leader in port and terminal operations, is seeking a dedicated Administrative Officer to join our team.

As an Administrative Officer, you will be instrumental in supporting the smooth day-to-day operations of the office. Your responsibilities will include providing coordinated administrative support, maintaining efficient workflows, managing office supplies, and coordinating meetings and business engagements.

You will also handle travel arrangements, process invoices, liaise with various internal teams, and support staff transportation logistics. Additional duties may include preparing basic reports and ensuring compliance with company policies.

Key Responsibilities

  • Provide coordinated administrative support to staff and internal stakeholders across all functions.
  • Maintain efficient administrative workflows and support continuous improvement initiatives.
  • Manage office supplies and consumables, including inventory tracking and timely replenishment.
  • Coordinate meetings, internal events, trainings, and business engagements in collaboration with relevant teams.
  • Handle travel arrangements, accommodation, and logistics for staff and visitors.
  • Process invoices, monitor vendor payments, and resolve invoice or receipt-related queries.
  • Liaise with Global Service Centre, security teams, drivers, and support staff to ensure seamless operations.
  • Support staff transportation logistics, vehicle pre-checks, and routine maintenance coordination.
  • Handle correspondence and ensure timely distribution of emails and documents to relevant departments.
  • Prepare basic reports related to office expenses and administrative budgets.
  • Support compliance with internal policies related to cash disbursements, gifts, and donations.
  • Respond professionally to inquiries, complaints, and administrative issues, escalating where required.
  • Perform additional administrative duties as assigned by the Admin Manager.
