The Programmer's University (TPU) is an innovative online software development school committed to empowering learners with practical, full-stack skills to launch fulfilling tech careers. We are seeking a dedicated and highly organized Operations Manager to expertly oversee our applicant pipeline from initial application through to successful enrollment.

In this pivotal role, you will be responsible for managing all applicant communications, meticulously tracking progress through pre-qualification stages, and ensuring timely follow-ups. Your data-driven approach will provide essential performance reports to leadership, enabling swift and informed decision-making.

Key Responsibilities

  • Own the applicant operations pipeline from application to enrollment
  • Send daily applicant follow-up emails, reminders, and nudges based on pipeline stage
  • Track applicant progress across key milestones (account claim, prequal start, completion, assessment, payment)
  • Maintain clean and accurate CRM/tracker data with no stale records
  • Ensure response-time SLAs are met and no lead is left unattended
  • Create and optimize applicant communication workflows and SOPs
  • Coordinate with onboarding instructor for applicant engagement handoff and escalation
  • Identify blocked applicants and drive fast resolution
  • Deliver weekly KPI reports with insights, bottlenecks, and action plans
  • Recommend improvements to increase conversion and reduce drop-off
  • Support campaign execution and communication operations during high-volume periods
  • Maintain professional communication standards across all applicant touchpoints

Qualifications

  • 3+ years in operations, admissions, customer success, sales ops, or related role
  • Proven experience managing lead/applicant pipelines and follow-up systems
  • Strong written communication and professional email handling
  • Excellent attention to detail and process discipline
  • Comfortable with spreadsheets, reporting dashboards, and CRM-style tracking
  • Ability to prioritize, multitask, and meet deadlines consistently
  • Strong ownership mindset and high accountability under minimal supervision
  • Experience in EdTech, training, or online education is a plus
  • Familiarity with WhatsApp/community-based communication operations is a plus
  • Reliable internet connection, power backup, and a quiet remote work setup
