Job Description
TRA is seeking a dedicated Project Operations Lead to enhance the efficiency of their project delivery engine. This role is crucial for ensuring smooth operations from project initiation to completion, without direct client management responsibilities.
You will be instrumental in coordinating operational workflows, including project setup, resource allocation, and supplier management. Your focus will be on identifying and implementing process improvements to reduce friction and boost operational performance.
This position offers significant ownership and growth potential, allowing you to shape how operations evolve within the organization. You will also contribute to fostering a connected and collaborative culture across TRA's Australian offices in Sydney and Melbourne.

Key Responsibilities
- Oversee the operational setup of new projects following client approval, ensuring accuracy and timely system data entry.
- Coordinate resource allocation across internal teams, ensuring effective distribution and clear visibility of workloads.
- Source supplier quotes and manage external vendor engagement to align with project needs.
- Raise and administer purchase orders for external suppliers promptly and accurately.
- Coordinate freelancer and contractor resourcing efficiently to match project needs, timelines, and budgets.
- Maintain operational oversight across active projects, identifying risks and bottlenecks early.
- Support teams with workflow coordination and operational troubleshooting to maintain efficiency.
- Identify process inefficiencies, reduce friction, and implement improvements for more effective ways of working.
Qualifications
- Proven experience in operations, project coordination, or a similar administrative role.
- Strong problem-solving skills with the ability to identify root causes and resolve issues.
- Excellent planning and organizational skills, with the ability to manage multiple workflows calmly and accurately.
- Sound operational judgment to spot issues early and improve business workflows.
- High attention to detail in data accuracy, reporting, and documentation.
- Strong collaboration skills to build relationships across teams, freelancers, and suppliers.
- Understanding of commercial drivers and the operational impact of delivery decisions.
- Tech-savvy with confidence in using project and workflow tools (e.g., Productive, Sage, Microsoft automations).
- Experience in a research environment is strongly preferred.
