Job Description

Greywood Hotels & Apartments is seeking a meticulous and proactive Procurement Officer to oversee the acquisition of all necessary goods and services for our establishment.

This vital role involves identifying and vetting reliable suppliers, negotiating favorable terms and prices, and ensuring the punctual delivery of all procured items. You will be responsible for maintaining accurate procurement documentation and working collaboratively with various hotel departments to meet their supply needs effectively.

Key Responsibilities

Identify and source reliable suppliers for food, beverages, equipment, linens, cleaning materials, and other hotel supplies.
Negotiate contracts, prices, and terms of purchase to achieve cost savings without compromising quality.
Prepare purchase orders and ensure timely delivery of goods and services.
Maintain accurate procurement records, supplier databases, and inventory reports.
Work closely with department heads (kitchen, housekeeping, front office, etc.) to forecast and fulfill supply needs.
Monitor stock levels to avoid shortages or overstocking.
Inspect delivered goods for quality, accuracy, and compliance with hotel standards.
Ensure all procurement activities comply with the hotel’s financial and operational policies.
Report on market trends, supplier performance, and procurement challenges to management.

Qualifications

Bachelor’s degree in a relevant field (e.g., Supply Chain Management, Business Administration)
3-5 years of experience in procurement, preferably within the hospitality industry
Proven ability to negotiate contracts and achieve cost savings
Strong understanding of inventory management principles
Excellent organizational and record-keeping skills
Proficiency in relevant procurement software and Microsoft Office Suite
Strong communication and interpersonal skills
