Job Description

Join Property Monitor, the UAE's premier real estate technology and market intelligence platform, now part of the Dubizzle Group. We provide developers, brokers, investors, and professionals with authoritative data and powerful analytics to drive informed decisions.

As the Sales Administration Officer, you will spearhead the administrative team, providing crucial support to both the Sales Director and Admin Lead. This role involves assisting and delegating tasks within the admin team, supporting Sales and Customer Support functions, and becoming an expert on our product portfolio. You will play a key role in introducing new software products and maintaining the commercial performance of existing ones, with a strong emphasis on customer service and issue resolution.

Your responsibilities will encompass operations, including chasing clients for data submissions, maintaining the client database, acting as the in-house CRM expert, coordinating training sessions, and ensuring business continuity during sales team absences. You will also manage incoming lead qualification and allocation, and book meetings as required.

Financially, you will track, prepare, and send tax invoices, send monthly transaction reports to finance, and coordinate collections. You will also manage platform access based on credit status.

On the technical front, you will manage customer issues via the internal ticketing system, handle user maintenance on the platform's backend, and coordinate with Product, Data, and Tech teams for issue resolution. You will escalate relevant issues to sales representatives and update the team on recurring or critical problems. Additionally, you will manage client profiles on the backend, including logo and branding.

You will also have the opportunity to take ownership of specific initiatives within sales, setting up and maintaining administrative structures to support them, and demonstrating nimbleness to support various company projects.

Key Responsibilities

  • Chase clients for data submissions on a regular basis to ensure the most complete set of data is received.
  • Keep the client database up to date and work with the Sales team to ensure the highest level of accuracy.
  • Become the in-house ‘expert’ on the Company CRM.
  • Coordinate client training sessions – Send invites, reminders and feedback.
  • Evolve with the team's operational requirements to ensure business continuity.
  • Create a detailed Master Subscription Agreement for New and Renewed clients.
  • Cover the sales team's vacation/absence to ensure the continuation of business.
  • Responsible for incoming lead qualification, logging and allocation.
  • Book meetings for the sales team where required.
  • Track, prepare, and send tax invoices to all subscribed clients.
  • Send transaction reports to finance monthly.
  • Coordinate with the Finance / Sales team / Management with regard to collections.
  • Manage Platform access on the back of credit status.
  • Manage customer issues/inquiries on the internal ticketing system.
  • Responsible for user maintenance on the backend of the platform.
  • Coordinate with Product/Data/Tech to resolve issues.
  • Escalate to the sales representative where relevant and update the Sales team on any recurring/business-critical issues.
  • Manage client profiles on the backend of the Platform – logo/branding, etc.
  • Open to taking ownership of specific initiatives/teams within sales and setup/maintain admin structure to support.
  • Be nimble to support on different projects/ initiatives as per the company requirements

Qualifications

  • High School Diploma.
  • Administration accreditation preferred.
  • 2+ plus years’ experience in an admin role.
  • Real Estate Industry knowledge.
  • Knowledge CRM systems.
  • Property tech/portal knowledge.
  • Excellent IT skills (Word, Excel, PowerPoint, MS Outlook) and CRM experience.
  • Demonstrated ability to multitask within a fast-paced work environment.
  • Good communication skills, both verbal and in writing.
  • Good interpersonal skills and ability to quickly form professional relationships with colleagues and clients at all levels of seniority.
  • Ability to prioritise and coordinate tasks efficiently, ensuring all deadlines are met.
  • Ability to maintain a positive attitude towards routine tasks.
  • Accurate and exceptional attention to detail.
  • Pro-active and enjoys working autonomously and as part of a wider team.
  • Able to plan and manage workload efficiently.
  • Comfortable having Sales conversations with Senior clients over the phone or in person.
