Job Description
The Tinstman Law Firm is seeking a highly organized and proactive Global Administrative Assistant to provide comprehensive calendar management and operational support to our Managing Attorney. This remote, part-time role is essential for ensuring the smooth functioning of our fast-paced legal practice.
In this position, you will be responsible for the end-to-end ownership of the Managing Attorney's calendar. This includes scheduling and confirming all calls, client meetings, internal check-ins, depositions, hearings, and travel arrangements. You will meticulously maintain calendar entries with all necessary notes and logistics, ensuring accuracy and completeness.
A key aspect of this role involves coordinating with courts, opposing counsel, experts, and internal team members to confirm and finalize legal calendar events. You will proactively manage reminders for upcoming events, deadlines, and tasks, ensuring that nothing falls through the cracks. Your ability to communicate clearly and concisely, primarily via Teams chat, text, and phone, will be paramount.

Key Responsibilities
- Manage full calendar ownership for the Managing Attorney, including scheduling calls, client meetings, internal check-ins, and travel.
- Confirm and finalize legal calendar events (depositions, hearings, mediations) by coordinating with courts, opposing counsel, experts, and internal stakeholders.
- Schedule depositions and hearings, track confirmations, and manage required next steps.
- Schedule and coordinate expert calls, aligning availability and sending logistics.
- Provide proactive reminders for upcoming events, hearings, deadlines, and task follow-through.
- Prepare the Managing Attorney for meetings and legal events by confirming details and gathering information.
- Manage communication primarily via Teams chat, text, and phone, using a direct, low-word-count, bullet-point style.
- Reschedule events quickly and professionally when conflicts arise, proposing options and securing reconfirmations.
- Draft routine scheduling and confirmation letters for approval.
- Follow up with clients, attorneys, court staff, experts, and team members to ensure scheduling threads remain active.
- Anticipate needs, identify gaps, and implement solutions to prevent issues from escalating.
- Keep the Managing Attorney informed of priorities and ensure no calls, deadlines, or commitments are missed.
- Support firm-wide organization by reducing administrative load on paralegals and the office manager.
- Handle other administrative tasks assigned by the Managing Attorney, such as light research and project support.
Qualifications
- 2–5+ years of experience as an Executive Assistant, Admin Assistant, or similar role supporting a busy executive.
- Extremely organized, detail-oriented, and reliable with strong follow-through and task/deadline management skills.
- Fast, concise communicator who prefers bullet points over long explanations.
- Comfortable with constant communication via Teams chat, phone, and text.
- Ability to work independently, think ahead, and anticipate needs without explicit direction.
- Experience coordinating and confirming scheduling for case-related events with courts, opposing counsel, experts, and internal team members.
- Strong calendar discipline, including clean documentation, accurate logistics, proactive reminders, and follow-ups.
- Flexible, open-minded, and unfazed by frequent schedule changes.
- Mature, polite, steady under pressure, and drama-free.
- Strong command of English with clarity in communication.
- Tech-savvy, resourceful, and comfortable coordinating across multiple team members.
- Interest in long-term growth into a more senior EA or operational role is a plus.
