Key Responsibilities
- Warmly welcome all visitors and provide exceptional service to clients, ensuring a positive first impression.
- Efficiently answer incoming calls, accurately redirect them to the appropriate department, and meticulously take messages as required.
- Coordinate and manage appointments, meetings, and conference room schedules to prevent conflicts and ensure optimal resource utilization.
- Direct visitors to the correct personnel or office with clear and helpful guidance.
- Uphold workplace security protocols by managing visitor badges and maintaining accurate, up-to-date visitor logs.
- Receive, sort, and distribute incoming letters, packages, and deliveries to the appropriate departments promptly.
- Maintain a clean, organized, and professional reception area, ensuring all necessary materials such as pens, forms, and brochures are readily available.
Qualifications
- Proven experience as a front desk representative, agent, or in a relevant customer-facing position.
- A Bachelor of Science (BSc) degree in a relevant field.
- Familiarity with standard office machines, including fax machines and printers.
- Proficiency in English, both oral and written, for clear and effective communication.
- Competence in Microsoft Office Suite, particularly Excel and Word, for administrative tasks.
- Excellent written and verbal communication skills, coupled with strong interpersonal abilities.
- Exceptional organizational and multi-tasking capabilities to manage diverse responsibilities efficiently.
- Demonstrated problem-solving skills and a proactive customer service orientation.
