Job Description
Heart to Cart is seeking a motivated Buying Assistant to join our procurement and inventory team. This role is vital for ensuring our product acquisition process is seamless, cost-effective, and meets our quality benchmarks.
You will be responsible for identifying and engaging with suppliers, managing purchase orders, and overseeing the logistics of product delivery. Your efforts will directly impact our ability to stock desirable items and maintain efficient inventory levels.

Key Responsibilities
- Identify and vet reliable local and international suppliers for products and packaging.
- Cultivate and maintain strong relationships with vendors, negotiating favorable terms.
- Solicit and compare quotes, then accurately place purchase orders.
- Ensure product quality standards are met by liaising with suppliers.
- Manage the process for inspecting, returning, and replacing damaged goods.
- Conduct regular visits to local markets to discover and purchase new products.
- Create, manage, and track all purchase orders.
- Monitor inventory levels and forecast future re-order requirements.
- Maintain precise inventory records and ensure data accuracy.
- Keep meticulous records of all purchases, expenses, and shipping details.
- Coordinate effectively with freight forwarders, shipping agents, and customs agents.
- Organize and diligently track all incoming shipments.
- Provide consistent updates on lead times, potential delays, and customs clearance status.
- Oversee international shipping procedures and manage necessary documentation.
- Prepare comprehensive procurement reports, detailing costs, lead times, and supplier performance.
- Track procurement costs, manage invoices, and adhere to payment schedules.
- Maintain up-to-date vendor documentation and compliance certificates.
- Assist with the preparation of import documentation, including invoices, packing lists, and customs paperwork.
Qualifications
- Bachelor's degree in Business Administration, Supply Chain, Logistics, or a related field is preferred.
- 1 to 3 years of experience in procurement, purchasing, or inventory management, with a focus on import/retail environments.
- In-depth knowledge of Lagos local markets and established vendor networks.
- Exceptional negotiation and communication skills.
- Proficiency in Microsoft Excel and Google Sheets.
- A solid understanding of import logistics, customs procedures, and shipping processes.
- A demonstrated interest in fashion or style trends is considered an asset.
