Job Description

TotalEnergies Renewables USA is seeking a dedicated Real Estate Administrator to join our growing Development and Real Estate teams. This contract position is crucial for managing the foundational land records, agreements, and documentation that underpin our solar and energy storage projects.

In this role, you will be instrumental in ensuring the precision, efficiency, and care required for our land management processes. You will support the Land Strategy team, which is vital for powering the energy transition and achieving our renewable energy development goals.

Key Responsibilities

  • Maintain accurate organization of all real estate records, including scanning, uploading, and filing documents across electronic and physical systems.
  • Manage executed instruments and ensure proper back-end processing, including filings through County Clerk offices and platforms such as Simplifile.
  • Draft and distribute correspondence to landowners.
  • Administer incoming and outgoing mail for the Real Estate team.
  • Serve as a liaison with third-party vendors to obtain curative and closing items.
  • Support data entry and accuracy within land management software.
  • Maintain the secure handling of sensitive personal and legal documents in accordance with internal protocols.
  • Ensure documentation supports auditability, compliance, and long-term asset integrity.
  • Assist with vendor invoicing by ensuring approvals, documentation, and processes are complete and accurate.
  • Provide ad hoc administrative support to the Development team as needed.
  • Collaborate cross-functionally to support land acquisition and renewable project development timelines.

Qualifications

  • High school diploma or GED (Associate or Bachelor’s degree preferred).
  • 2+ years of experience in a similar administrative or real estate-related role.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to understand and work with legal and real estate documents.
  • Friendly, service-oriented mindset with strong communication skills.
  • Comfortable in a fast-paced, in-office environment and able to work independently or as part of a team.
  • Must be able to work in the office 5 days a week.
  • Experience supporting real estate, land acquisition, or development teams is preferred.
  • Texas Notary Public certification is a plus.
  • Prior experience handling sensitive or confidential documentation is preferred.
