Job Description

We are seeking a proactive and detail-oriented Administrative Manager to oversee the daily operations of our fast-growing Medical Spa in Lekki, Lagos. This role involves managing administrative processes, coordinating staff, and ensuring the smooth functioning of all business activities. You will be responsible for managing day-to-day office operations, overseeing HR functions, maintaining company systems (CRM, website, accounting), and coordinating meetings. Additionally, you will prepare reports, monitor team tasks, handle client consultations, organize staff trainings, and provide personal administrative support to the Managing Director.

Key Responsibilities

  • Manage day-to-day office operations including handling correspondence, scheduling, and staff coordination.
  • Oversee HR functions such as recruitment, onboarding, and personnel record management.
  • Maintain and update the company’s CRM, website, and accounting systems to ensure accuracy and real-time information.
  • Coordinate meetings, travel arrangements, and manage calendar tools for the management team.
  • Prepare reports, presentations, and documentation for internal meetings and decision-making.
  • Monitor team tasks and project timelines to ensure timely completion of deliverables.
  • Handle client consultations (both online and in-person) and oversee follow-up care plans.
  • Organize staff trainings, team-building activities, and internal events as required.
  • Provide personal administrative support and handle designated errands for the Managing Director.

Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum of 3–5 years’ experience in administrative or office management roles (experience in a medical or spa environment is an advantage).
  • Excellent communication, coordination, and leadership skills.
  • Proficiency in Microsoft Office Suite, CRM tools, and digital communication platforms.
  • Strong sense of discretion, organization, and time management.
