Job Description

PBN Solutions Limited is seeking a detail-oriented and technically adept Solutions Implementation Associate to join their dynamic team.

In this part-time contract role, you will play a crucial part in the hands-on execution of Zoho and Odoo implementation projects. You will work closely with the Lead Consultant, focusing on configuring systems, migrating data, and ensuring the successful deployment of business process automation solutions for clients.

Key Responsibilities

  • Assist in the configuration of Zoho and Odoo platforms according to project specifications, including CRM modules, pipelines, workflows, user roles, and permission settings.
  • Set up standard automation rules, email templates, custom fields, dashboards, and reports within Zoho CRM, Zoho One, and Odoo as directed.
  • Carry out repetitive but critical configuration tasks across multiple client accounts with consistency and accuracy.
  • Test all configurations thoroughly before client handover to ensure they function exactly as specified.
  • Support client data migration activities, including importing contacts, leads, accounts, products, and historical records into Zoho or Odoo from spreadsheets, legacy CRMs, and other data sources.
  • Perform data cleanup tasks: identifying duplicates, standardizing formats, correcting inconsistencies, and ensuring data integrity before and after migration.
  • Organize and structure client data in alignment with the agreed system architecture and naming conventions.
  • Flag data anomalies or issues to the Lead Consultant in a timely and clearly communicated manner.
  • Conduct structured system testing across configured modules, verifying that workflows trigger correctly, automations run as expected, user permissions behave as intended, and data displays accurately.
  • Follow agreed testing checklists and document outcomes systematically, noting any bugs, discrepancies, or areas requiring further configuration.
  • Support user acceptance testing (UAT) with clients, guiding them through test scenarios and capturing their feedback in a structured format.
  • Work with the Lead Consultant to resolve identified issues promptly and re-test until sign-off standards are met.
  • Deliver structured, step-by-step training sessions to client teams on how to use their newly configured Zoho or Odoo environment, covering core modules relevant to their specific role and workflow.
  • Translate technical system functionality into plain, practical language that non-technical end users can understand and apply confidently.
  • Conduct training via video call (Zoom, Google Meet, or similar) or in-person where required, ensuring participants leave each session with clarity and confidence.
  • Answer follow-up questions from client users during the post-training period and escalate complex issues to the Lead Consultant where appropriate.
  • Create clear, well-structured documentation for every implementation project, including configuration guides, workflow maps, user manuals, and step-by-step how-to-documents tailored to each client's setup.
  • Develop training materials such as slide decks, quick-reference guides, and video walkthroughs that clients can refer to after the project is complete.
  • Maintain an internal library of reusable templates, configuration notes, and standard operating procedures that improve efficiency across future projects.
  • Ensure all project documentation is organized, version-controlled, and stored in the agreed shared workspace (Google Drive or similar).
  • Serve as the first point of contact for client queries and minor issues that arise post-implementation, triaging, troubleshooting, and resolving straightforward problems promptly.
  • Log all support interactions clearly, noting the issue, the steps taken, and the resolution, so that a full client support history is always available.
  • Identify recurring issues or knowledge gaps among client users and proactively recommend additional training or documentation to address them.
  • Escalate complex or unresolved issues to the Lead Consultant with a clear summary of what has already been attempted.

Qualifications

  • Familiarity with CRM or ERP platforms.
  • Strong proficiency in Microsoft Excel / Google Sheets.
  • Data entry, cleanup & migration experience.
  • Clear written and verbal communication skills.
  • Ability to create user-facing documentation.
  • Experience facilitating training or walkthroughs.
  • High attention to detail and quality discipline.
  • Strong self-management and time management skills.
  • Comfortable working with tools like Zoho CRM, Zoho One, Odoo, Google Workspace, and Microsoft Excel / Google Sheets.
  • Ability to explain technical concepts in simple, human language.
  • Ability to follow documented processes and apply them consistently.
  • A background in Computer Science, Information Technology, Business Administration, or a related field is an advantage.
  • Available for a part-time engagement of approximately 20 hours per week, with flexibility to scale during active project phases.
