Job Description

We are seeking a highly organized and proactive Executive Personal Assistant to provide comprehensive support to our Director within the Marine & Offshore Services sector.

In this critical role, you will manage the Director's complex schedule, coordinate executive meetings, oversee international travel and immigration processes, and ensure the smooth operation of office facilities and estate management. Your ability to handle sensitive information with discretion and act as a key liaison will be vital to the Director's effectiveness.

Key Responsibilities

  • Manage the Director’s calendar, appointments, meetings, and travel arrangements.
  • Prepare and review documents, reports, and presentations for the Director.
  • Draft, proofread, and manage high-level correspondence.
  • Act as a liaison between the Director and internal/external stakeholders.
  • Ensure confidentiality and handle sensitive information with discretion.
  • Coordinate executive meetings, prepare agendas, and ensure timely distribution of minutes and action tracking.
  • Manage documentation, filing systems, and archiving for the Director’s office.
  • Oversee communication flow within the Director’s office and across departments.
  • Provide administrative support to executive committees and board meetings where required.
  • Oversee day-to-day operations of the Director’s office premises and estate, ensuring facilities are functional, secure, and well maintained.
  • Liaise with vendors, contractors, and service providers for office/estate maintenance, supplies, and facility-related issues.
  • Monitor facility budgets, contracts, and service-level agreements.
  • Ensure compliance with health, safety, and security regulations.
  • Manage the Director’s and key executives’ visa applications, renewals, and compliance with immigration requirements.
  • Coordinate flight bookings, accommodation, and ground transportation.
  • Ensure timely processing of travel documents (passports, permits, insurance).
  • Maintain relationships with embassies, immigration authorities, and travel service providers.

Qualifications

  • Bachelors’ Degree or HND in any science, social science or arts related course
  • Minimum of 3-5 years relevant work experience
  • Proficiency in the use of MS Office and other packages.
  • Excellent human relation Management skill.
