Job Description

Solace is seeking a highly organized and proactive Executive Assistant to provide critical support to our co-founder and Chief Product Officer. This role is designed for ambitious 2026 graduates based in the United States who are eager to make a significant impact in a fast-paced healthcare technology startup.

You will be instrumental in ensuring the executive you support operates at peak efficiency, managing complex calendars, streamlining communication, and driving key initiatives forward. Key Responsibilities

  • Manage complex, multi-time-zone calendar scheduling, prioritizing meetings based on strategic value.
  • Protect executive time by triaging inbound requests and proactively resolving scheduling conflicts.
  • Prepare executives for meetings by compiling agendas, pre-reads, and supporting materials.
  • Act as a proxy in meetings, capturing notes, clarifying decisions, and ensuring follow-through on action items.
  • Draft and send executive-level communications with clarity and professionalism.
  • Serve as the primary point of contact for internal leaders, external partners, and vendors.
  • Digest, summarize, and escalate key information, updates, and risks while maintaining strict confidentiality.
  • Support leadership cadence, including weekly reviews and planning sessions, by managing agendas and action tracking.
  • Build and improve systems and processes to enhance executive productivity.
  • Manage end-to-end travel logistics, itineraries, reservations, and expense reporting.
  • Ensure seamless operational execution during high-volume periods and periods of change.

Qualifications

  • Exceptional calendar management, prioritization, and organizational skills.
  • Strong written and verbal communication abilities, capable of drafting clear executive-level messaging.
  • Demonstrated judgment, professionalism, and ability to handle confidential information.
  • Excellent project management skills with the ability to drive tasks forward independently.
  • Ability to anticipate needs, solve problems proactively, and meet deadlines.
  • Comfort operating in a dynamic and sometimes ambiguous environment with composure.
  • High emotional intelligence (EQ) and the ability to navigate cross-functional relationships with empathy and confidence.
  • Must be a 2026 graduate.
  • Must be based in the United States.
