Job Description

We are seeking a highly experienced and proactive Senior Executive/Technical Assistant to provide strategic support to the Group Managing Director (GMD). This role goes beyond traditional administrative duties, focusing on anticipating needs, managing complex priorities across different time zones, and handling sensitive information with the utmost confidentiality.

You will be instrumental in ensuring the smooth execution of high-level initiatives and will serve as a trusted partner in a fast-paced, dynamic environment. Your ability to bring order to complexity and provide seamless support will be key to the GMD's effectiveness.

Key Responsibilities

  • Manage and optimize the GMD’s calendar with exceptional foresight, prioritizing competing demands and protecting time for strategic focus.
  • Coordinate complex domestic and international travel arrangements, including detailed itineraries, visas, accommodations, transportation, and contingency planning.
  • Act as the primary point of contact for internal and external stakeholders, screening emails and requests while maintaining professional and diplomatic communication.
  • Prepare, edit, and proofread high-level correspondence, reports, presentations, board materials, and strategic documents.
  • Organize and facilitate executive meetings, off-sites, board meetings, and events — including agenda preparation, material distribution, minute-taking, and follow-up on action items.
  • Manage special projects and initiatives on behalf of the GMD, from planning to execution.
  • Handle confidential and sensitive matters with discretion and sound judgment.
  • Liaise with other executive assistants, department heads, and external partners to ensure seamless cross-functional coordination.

Qualifications

  • 5+ years of experience as an Executive Assistant, preferably supporting C-level executives (CEO, CFO, COO, or equivalent) in a fast-paced corporate environment.
  • Proven track record supporting senior leaders in complex, multi-time-zone organizations.
  • Bachelor's degree preferred.
  • Exceptional organizational and time-management abilities.
  • Superior written and verbal communication skills with meticulous attention to detail and grammar.
  • High emotional intelligence, diplomacy, and the ability to interact effectively with people at all levels.
  • Absolute discretion and impeccable judgment when handling confidential/sensitive information.
  • Advanced proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint) and modern productivity tools.
  • Experience with virtual collaboration tools and hybrid work environments.
  • Ability to anticipate needs, solve problems independently, and remain calm under pressure.
  • Flexibility to adapt to changing priorities and occasional after-hours support.
