Job Description
RIVET, a pioneering social purpose organization, is seeking a dedicated Grants & Operations Coordinator to join our dynamic Impact team. This role is instrumental in managing the intricacies of grant administration, ensuring seamless meeting preparations, meticulous documentation, and robust day-to-day operational support. You will be the backbone of our grant cycles, reporting, and internal workflows, ensuring timely execution and clear communication with our grantees and partners.

Required Skills
Key Responsibilities
- Maintain comprehensive grant trackers for applications, approvals, disbursements, and reporting deadlines.
- Monitor required documentation, receipts, and impact updates from grantees.
- Follow up with grantees to ensure timely and complete reporting.
- Ensure grant records are accurate, organized, and readily accessible for partners.
- Support the launch and close-out of grant cycles with clear timelines and checklists.
- Manage and maintain shared folders, trackers, and internal documentation for impact work.
- Assist in the upkeep of Standard Operating Procedures (SOPs), templates, and process documentation.
- Ensure data, files, and materials are easily retrievable and consistently organized.
- Proactively identify and flag risks, delays, or missing information to leadership.
- Support internal reporting and contribute to dashboard inputs as required.
- Prepare, format, and polish impact-related materials, including presentations, grant summaries, and partner-facing documents.
- Support meeting logistics by drafting agendas, preparing pre-reads, taking notes, tracking action items, and managing follow-ups.
- Coordinate calendars, deadlines, and internal requests for the Impact team.
- Reduce the administrative workload for the Chief Impact Officer and Impact Manager.
- Assist with logistics for impact-related events, convenings, or travel as needed.
- Serve as a reliable point of coordination for impact workflows.
- Provide steady cross-functional coordination in a fast-paced environment, bringing structure and clarity to shared projects.
Qualifications
- Demonstrated ability to track applications, approvals, disbursements, and reporting milestones across grant cycles.
- Strong administrative skills in scheduling, meeting preparation, follow-ups, and organizing leadership workflows.
- Comfort in supporting payment tracking, confirmations, and documentation in coordination with internal teams.
- Proficiency in maintaining organized trackers, shared folders, and grant documentation across various platforms.
- Ability to prepare, format, and polish presentations, summaries, and internal or partner-facing materials.
- Excellent written communication skills, capable of drafting concise and professional emails, instructions, and updates.
- Proven track record of consistent follow-through, deadline management, and attention to detail.
- A calm and proactive mindset, able to anticipate needs and flag issues early, even amidst shifting priorities.
