Job Description

Urbacon Trading & Contracting, a leader in the construction and energy sectors, is seeking a highly organized and professional Senior Administrator to join their PMV Branch in Qatar.

This role is pivotal in ensuring the smooth operation of the office environment. You will be the first point of contact for visitors, manage complex scheduling, and maintain confidential records with utmost accuracy. Your contribution will be vital in enhancing the organization's brand and ensuring efficient administrative support for the direct supervisor and the department.

Key responsibilities include managing appointments, logging visitors, distributing correspondence, preparing reports, and supporting HSE initiatives. A strong command of English, proficiency in MS Office Suite, and experience with SAP ERP systems are essential for success in this position.

Key Responsibilities

  • Provide excellent customer service and act as a brand ambassador for the organization.
  • Maintain a scheduler for appointments and provide daily reminders to the direct supervisor.
  • Manage guest admissions and maintain a log of visitors and appointments.
  • Confidently and accurately distribute, record, and file correspondences, calls, and queries.
  • Ensure timely distribution of departmental documents to relevant personnel.
  • Screen and organize documents for the direct supervisor.
  • Record distributed documents and monitor actions taken on correspondence requiring a reply.
  • Advise the direct supervisor on documents or matters requiring immediate attention.
  • Screen and forward approved calls to the direct supervisor.
  • Monitor all incoming and outgoing departmental documents in compliance with the quality management system.
  • Ensure proper dissemination of mails to the department.
  • Manage timely delivery and receipt of couriers and packages.
  • Collate data and prepare professional reports, memos, or presentations as requested.
  • Support the implementation of HSE initiatives and participate in safety awareness activities.

Qualifications

  • Bachelor's Degree in Business Administration or a related field.
  • Minimum of 5 years of working experience.
  • Minimum of 3 years of relevant working experience.
  • 2 years of GCC experience is a plus.
  • Knowledge in office administration.
  • Knowledge and experience in delegation of authority and responsibility.
  • Knowledge of Information gathering and monitoring.
  • Excellent working knowledge of English (oral and written).
  • High proficiency in Computer Office Applications and Programs (MS Excel, Word etc.).
  • ERP knowledge, preferably SAP functional skills.
