Job Description

We are seeking a highly adaptable and skilled Executive Assistant to provide critical, high-level support to our consultants. This role is designed for a proactive individual who can seamlessly step in to cover for absent Executive Assistants, ensuring continuity and excellence in administrative operations.

In this dynamic position, you will manage complex calendars, coordinate intricate travel plans, and meticulously prepare client and candidate deliverables. Your ability to prioritize conflicting demands and manage multiple tasks efficiently will be paramount. You will serve as a key liaison, facilitating smooth communication between consultants and internal/external stakeholders.

Key responsibilities include maintaining the accuracy of global databases, assisting with billing and client invoicing, and providing comprehensive administrative support for various events. Key Responsibilities

  • Provide high-level support to consultants, acting as a floater during Executive Assistant absences.
  • Manage complex calendars, including scheduling meetings, interviews, and appointments.
  • Arrange and coordinate detailed travel plans, itineraries, and agendas for consultants and candidates.
  • Process expense reimbursements for consultants and candidates.
  • Prioritize and manage multiple tasks and projects with strict deadlines.
  • Ensure the accuracy and up-to-date status of the global database.
  • Compose, prepare, and edit confidential correspondence.
  • Assist the accounting department with billing and client invoicing.
  • Provide administrative support for virtual and in-person events.
  • Interface regularly with high-level executives involved in confidential projects.

Qualifications

  • Proven experience as an Executive Assistant or in a similar high-level administrative role.
  • Exceptional organizational and time-management skills.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • Excellent written and verbal communication skills.
  • Discretion and ability to handle confidential information.
  • High level of flexibility and adaptability to changing tasks and priorities.
  • Experience with travel booking and expense reporting systems.
  • Strong interpersonal skills for effective communication with clients and internal teams.
