Job Description

Houseful is seeking a highly skilled AI Business Analyst / Knowledge Architect for an initial 6-month contract. This pivotal remote role, based in the UK, is crucial for advancing our internal AI program within Alto Software Group (ASG), a leading B2B SaaS platform in the UK property industry.

As an AI Business Analyst / Knowledge Architect, you will serve as the primary discovery engine, identifying key workflows ripe for AI transformation and meticulously structuring the knowledge essential for AI systems. Your work will directly contribute to improving internal productivity, reducing operational costs, and significantly enhancing customer experience.

This role demands a cross-functional approach, collaborating with teams across Customer Operations, Marketing, Education, Training, Finance, and Strategy. You will be instrumental in mapping current processes, quantifying inefficiencies, and designing robust knowledge architectures that empower our AI-enabled tools.

Key Responsibilities

  • Map current-state workflows across various functions through interviews, observation, and system data analysis.
  • Identify and quantify inefficiencies, manual effort, and bottlenecks within existing processes.
  • Build comprehensive business cases for each automation opportunity, detailing baseline metrics, expected ROI, and margin impact.
  • Translate discovery findings into clear, prioritized requirements for the AI Engineer and delivery teams.
  • Design effective taxonomies and knowledge structures for company documentation.
  • Audit, clean, and restructure existing Standard Operating Procedures (SOPs), policies, and training content for optimal AI consumption, including RAG knowledge bases.
  • Establish and enforce documentation standards, including format, ownership, and review cadence.
  • Collaborate with the AI Engineer to ensure knowledge bases accurately serve retrieval pipelines.
  • Produce necessary SOPs, process maps, and RACI documentation.
  • Support the adoption of new automated processes through playbooks and training materials.
  • Track and report on the realized benefits after each automation is deployed.

Qualifications

  • Proven business analysis experience within SaaS or technology environments.
  • Strong proficiency in process mapping and discovery skills, utilizing methodologies such as BPMN or similar.
  • Demonstrated experience in knowledge management or information architecture, including taxonomy design, content structuring, and metadata application.
  • Familiarity with how Large Language Models (LLMs) consume knowledge, with RAG (Retrieval Augmented Generation) awareness being highly desirable.
  • Experience with documentation platforms such as Confluence, Notion, or similar tools.
  • Working data literacy; SQL proficiency is desirable.
  • Skilled at conducting stakeholder interviews and eliciting accurate insights into operational workflows.
  • Ability to quantify processes effectively, including cycle times, volumes, and the cost of manual effort.
  • Track record of successful delivery as a contractor, characterized by clean documentation and seamless handover.
  • Possess a structured and rigorous approach to problem-solving.
  • Exhibit curiosity and high attention to detail.
  • Excellent written communication skills.
  • Comfortable working effectively in ambiguous environments.
  • Outcome-focused and pragmatic in approach.
